If Your Team Photos Look Like They Were Taken by Six Different People, They Were

Most organizations don't set out to have inconsistent team photography. It accumulates. Someone's photo came from a conference. Someone else sent in a cropped wedding picture. Three people were shot by a previous vendor with a different background. Two new hires still don't have anything at all, so there's a gray silhouette on the leadership page.

Then a client, a recruit, or a prospective partner visits your website, and before they read a word about your capabilities, they've formed an impression about how carefully your organization runs.

Fixing it usually falls to one person who has ten other things to do and has never hired a photographer.

The goal is a single production day, a consistent look across every person from the C-suite to last month's hire, and a repeatable system so it doesn't drift again next year.

What your day will actually look like

The most common question is how much this will disrupt the workday.

The timeline here shows exactly what to expect, from setup through final delivery.

The short version:

Setup happens before your first appointment, employees return to work within minutes, and your coordinator is not left managing the photography station.

Approval happens on site.

Every person can review their images before leaving the chair.

  1. Before the first appointment

We arrive 60–90 minutes early and build the studio in a conference room, empty office or open area. A roughly 10 × 12-foot space and one standard outlet are usually all we need.

  2. During the shoot

Each employee arrives at a scheduled slot, receives clear posing and expression direction, and reviews the result live. Most appointments take 6–10 minutes.

  3. When plans change

Meetings run over. People arrive late. We keep flex time in the schedule and move people into later openings without asking you to solve it.

  4. Afterward

You receive a coverage preview within 48 hours and final retouched files in a private, organized gallery within 3 business days.

One Standard Across the Leadership Page

Heritage Grocers Group / Cardenas Markets · Ontario, CA

Leadership photos had accumulated over years from conferences, previous vendors, and whatever was on hand. The result was a leadership page where the eye caught on every inconsistency before it reached a single name.

We built one lighting and framing standard and ran the entire leadership team through it in a single production day at their Ontario office. Same background, same light, same distance, every person. Retouched files landed in a private gallery three business days later.

A Custom Background, Matched to Brand

Intercare Therapy · Ontario, CA

Healthcare organizations need images that read as approachable and clinical at the same time, and they need that balance to hold across departments that rarely coordinate with one another.

We used the organization's signature brand color as their backdrop rather than defaulting to gray or white, then held it constant across every department photographed. Clinical staff, administrative staff, and leadership all sit on the same visual foundation.

The Return Visit Is the Whole Point

Corona Millworks · Chino, CA

Most team photography drifts within a year. New hires get photographed by whoever is available, and by the second year the team page looks the way it did before anyone hired a photographer.

We photographed the team on location in August, saved the exact lighting, background, crop, and finish as a documented standard, and returned in October to photograph everyone hired since. The new portraits sit next to the originals without anyone being able to tell which session they came from.

AFTER YOUR TEAM HEADSHOT DAY

Keeping it consistent after the new hires start

Your team page should not start drifting six months after the main production.

  • We return quarterly or twice a year and photograph everyone hired since the last visit using the same lighting, background, crop and finish.

  • Individuals can book directly at our Rancho Cucamonga studio.

  • We save the visual standard and reference your brand guide to make matching future hires straightforward.
